SUMMARY:Special Meeting to Elect Your GECA Board of Directors
DESCRIPTION:The acting Board of the GlenEagles Community Association (GECA) is calling a Special General Meeting on September 18\, 2025 to officially elect a Board of Directors to serve until the next Annual General Meeting in May 2026. The meeting will be held at The Links of Gleneagles starting at 7:00 P.M. \nWhy this Meeting is Important: \nUntil a formal Board is elected\, we are unable to approve a budget or move forward with plans for 2026. To proceed\, we need a minimum of 96 votes from 96 different residences —either in person or by proxy. \nBackground \nAt the GECA Annual General Meeting held on May 28\, 2025\, the election of a new Board did not take place. \nUnder GECA Bylaws\, we must elect a minimum of 5 and a maximum of 9 directors. A proposed slate of 9 candidates (8 returning members and 1 new candidate from the Villas) was presented. However\, in accordance with the Alberta Societies Act\, we were required to ask three times if there were any additional nominations. \nOn the third call\, Jennifer Gagnon from the Estates nominated herself\, resulting in 10 candidates for 9 positions\, which triggered a vote. Residents then requested to see all candidate profiles before voting. As these were not immediately available\, and after considerable discussion\, it was suggested to defer the election and conduct it by email. \nHowever\, legal counsel has since confirmed that votes must be cast either in person or by proxy. This necessitates the Special General Meeting. \nSpecial Meeting & Proxy Voting \nThis meeting will be solely for the purpose of electing the GECA Board of Directors. We strongly urge you to attend and to be prepared to vote for up to 9 candidates. \n• Candidate profiles and proxy forms will be sent to all residents on August 20\, 2025.\n• If you are unable to attend\, please complete a proxy and give it to a Gleneagles resident who will be attending the meeting.\n• Proxies must be presented at the meeting by the designated resident.\n• If you cannot find someone to represent you\, please contact us at info@geca.ca and we will help you find a proxy holder. \nNominations \nIf you would like to run for the Board or nominate another resident: \n• Please complete the attached Board Member Candidate Profile Template and return it to info@geca.ca by August 18\, 2025. \n• All nominations received by that date will be included in the candidate package and proxy materials sent out on August 20\, 2025. \nNominations will still be accepted from the floor during the Special Meeting; however\, last-minute nominees will only have 3 minutes to introduce themselves and their names will not be listed on the proxy. \nLet Your Voice Be Heard \nThis is your community.
